Privacy Policy
Cancel Voicemail is an AI receptionist. This policy explains what we collect from people browsing cancelvoicemail.com, from the contractors who use the product, and from the callers those contractors serve — and what we do not do with it.

1. Who we are
This policy is issued by ClearVantage (“we,” “us”), which operates Cancel Voicemail at cancelvoicemail.com. Cancel Voicemail is a ClearVantage product. For the Terms of Service that go with this policy, see that page.

2. Three kinds of people
This policy covers three groups, because the product touches all three:
- Visitors — anyone who loads this website, uses the chat bubble, books a call on our calendar, or calls a public demo line we publish.
- Customers — the businesses (and their staff) who request a trial, subscribe, or log into the tools we give them to run the receptionist.
- Callers — people who phone a customer’s business line (or use that customer’s website widget) and reach the Cancel Voicemail receptionist. Those people are the customer’s leads and customers, not ours.
3. Information from this website
When you use cancelvoicemail.com, we may collect:
- Contact and quote-form details you submit on the Get Started form — name, business name, phone, email, website, industry, approximate call volume, team size, phone provider, how you want to use the receptionist, and any plan or add-on you had selected when you arrived.
- Booking details if you schedule time through the calendar widget (HighLevel / LeadConnector), such as name, email, phone, and the slot you picked.
- Chat messages if you use the site’s chat bubble, plus whatever contact info you type there.
- Demo calls if you call a demo number we publish. Those calls may be recorded and reviewed so we can operate the demo. Don’t leave information on a demo line that you wouldn’t want us to hear.
- Technical data such as IP address, browser type, device, pages viewed, referring URL, and approximate location derived from IP. Hosting and security logs (including our host, currently used to serve this site) may keep this for a limited time.
Form submissions are forwarded to our lead inbox and to a HighLevel (LeadConnector) workflow so we can follow up and build your trial. We ask you not to put payment card numbers or other highly sensitive data in those forms; we do not need them to start a trial.
4. Information from customer businesses
If you become a customer or trial user, we also collect:
- account login identifiers and the email we use to invite you;
- business configuration: hours, service area, FAQs, transfer numbers, greetings, and similar script material you give us;
- calendar connection data if you connect Google Calendar or Outlook so the receptionist can book;
- call-forwarding setup details and the destination numbers we assign;
- usage (receptionist minutes, chat replies) for billing included allowances and overages;
- billing details. Card numbers are handled by our payment processor (Stripe, when checkout or invoicing is enabled), not stored in full on this website; and
- support emails and messages you send us.
A 10-day trial can start without a payment method. We still keep the business and setup information needed to build and run the receptionist during that trial.
5. Information from your callers
When the receptionist answers for a customer, it may collect whatever that customer has configured it to ask — typically name, return phone number, service address, what is broken or needed, urgency, and appointment preferences. Voice audio is processed so the AI can talk. We may store:
- call recordings;
- transcripts and summaries;
- SMS or email the Service sends to the caller or to the customer’s team;
- calendar events created from the call; and
- contact records in the CRM tools we use to operate the account.
We process caller information to provide the Service for that customer, not to build a marketing list of homeowners for Cancel Voicemail or ClearVantage. We do not sell caller lists.
If you are a caller who reached a contractor through Cancel Voicemail and you want access or deletion, start with that contractor — they are the business you called. We will help the contractor honor a valid request where we hold the data.
6. How we use information
We use information to:
- respond to inquiries and run demos, trials, and paid accounts;
- configure, operate, and improve the receptionist for each customer;
- book jobs, transfer calls, and send the notifications a customer has enabled;
- measure usage and bill plans, overages, and add-ons;
- secure the Service, prevent abuse of trials, and debug failures;
- comply with law and enforce the Terms; and
- send customers operational mail (setup, invoices, outages). We may also send occasional product mail to people who asked for a trial or subscribed; you can unsubscribe from marketing mail. We do not use caller numbers for our own marketing.
9. Our role vs. yours
For visitor and customer account data, we decide how Cancel Voicemail uses it (we are the “business” under California law).
For caller data handled while answering a customer’s line, the customer is the business in charge of that relationship. We process that data on their instructions to provide the receptionist. Customers are responsible for telling their callers anything the law requires — including that an AI may answer, that a call may be recorded, and how to reach the contractor. We describe recording and SMS obligations in more detail in the Terms.
10. How long we keep it
We keep visitor leads as long as we are actively talking with that business, then for a reasonable period afterward for follow-up and records. We keep customer account, billing, call-log, recording, and transcript data for as long as the account is active and for a period afterward as needed for billing disputes, security, and legal holds — typically not longer than we have a practical need. We may keep de-identified usage statistics longer.
When a customer cancels, we disable the receptionist. We may delete or de-identify caller recordings and transcripts on request from that customer, subject to backups and legal retention. You should export anything you need before you cancel.
11. Security
We use access controls, vendor agreements, and standard hosting/security practices appropriate to a small B2B service that handles call recordings and lead data. No method of transmission or storage is 100% secure. Tell us immediately at hello@cancelvoicemail.com if you think an account was accessed without permission.
12. Your choices and rights
You can decline to fill out forms, skip chat, and not call the demo line. Customers can ask us to correct business configuration, close an account, or (subject to the Terms) delete an account’s stored call data.
If you are a California resident, you may have the right to know, access, correct, or delete personal information, and to opt out of “sale” or “sharing” as those words are defined under the CCPA/CPRA. We do not sell personal information for money. To exercise a right, email hello@cancelvoicemail.com with “Privacy request” in the subject. We will need enough information to verify you. You may use an authorized agent as the law allows. We will not deny you the Service for exercising these rights, except that we cannot operate a receptionist without the data it needs to answer and book.
Residents of other states with consumer privacy laws can contact us the same way; we will honor requests as those laws require.
The Service is aimed at U.S. businesses. We do not market it as a GDPR product for the EU/UK public. If you still believe we hold your data and you are in those regions, email us and we will handle the request in good faith.
13. Children
Cancel Voicemail is a business service. This website and the receptionist are not directed at children under 16, and we do not knowingly collect their information as visitors or customers. If you believe a child provided personal information on this site, email us and we will delete it. Calls a contractor receives from minors in the course of ordinary service work are the contractor’s to handle lawfully; we process those calls only as part of that customer’s receptionist.
14. Where information is processed
We operate in the United States. Information is processed in the U.S. by us and by the U.S.-oriented vendors described above. If you access the site from elsewhere, you understand it is handled in the United States.
15. Changes
We may update this policy. The effective date at the top will change. For a material change that affects an existing customer account, we will also email the contact we have on file when that is reasonable.
